Information for confirmed sponsors

All sponsor registration and attendee matters will be handled through the sponsoring organisation’s primary contact as designated on the form circulated with the sponsorship contract. The primary contact will be sent full exhibition guidelines, including complete logistical information, delivery details and AV order forms.

Logistics will be coordinated by ACC Europe and Judy Lane ICS, the contracted conference management team. If there are any changes to the primary contact information, please notify Lucy Jones  and Esther Meneses

Sponsor passes

The number of passes per sponsor is allocated according to the sponsorship level, and may not be altered:

  • Tier 1 Sponsors receive 4 passes = 3 Full Access, 1 Exhibit Only Access
  • Tier 1 Sponsors with a Law Lab add on receive 5 passes = 4 Full Access, 1 Exhibit Only Access
  • Tier 2 Sponsors receive 3 passes = 2 Full Access, 1 Exhibit Only Access
  • Tier 2 Sponsors with a Law Lab add on receive 4 passes = 3 Full Access, 1 Exhibit Only Access
  • Law Lab Sponsors receive 3 passes = 2 Full Access, 1 Exhibit Only Access

Any passes associated with other ancillary item sponsorships will be allocated according to the packages agreed.

NOTE: If a sponsoring organisation is sending a speaker (designated Sponsor Speaker) to present at one of the sessions, that speaker must be registered under one of the Full Access passes allocated to the sponsor. Full Access passes provide access to:

  • 25th Celebratory welcome buffet on Sunday 12 May
  • Attendance at the conference sessions (unless designated for in-house counsel only)
  • Welcome coffee, buffet lunch and networking breaks on Monday 13 and Tuesday 14 May
  • Conference dinner on Monday 13 May at the National Museum of Scotland
    Please note: the deadline for booking dinner places is 6 May with a limit of one per Full Access pass and places will only be allocated upon request on the online registration form, received by 6 May. After 6 May dinner places will be subject to availability.
  • Any available speakers’ presentations and background materials

Exhibit Only Access passes provide access to all events held in the exhibition hall:

  • 25th Celebratory welcome buffet on Sunday 12 May
  • Welcome coffee, buffet lunch and networking breaks on Monday 13 and Tuesday 14 May
  • Option to purchase one place at the conference dinner – price €195 – subject to availability

Access to conference sessions is not permitted on Exhibit Only Access passes. All passes are for the exclusive use of the sponsoring organisation and may not be given to customers or allied businesses without the approval of both ACC and ACC Europe. Each sponsor badge will indicate whether it is a Full Access or Exhibit Only Access pass. Each badge should be collected at the conference registration desk by the individual whose name it bears. Badges must be worn at all times and will be scanned at session entry and at the dinner.

Sponsor registration

All sponsor attendees must register for the conference by completing the sponsor registration form in its entirety. Please note that a separate registration form is required for each attendee and must indicate whether the attendee is Full Access, Exhibit Only Access or Sponsor Speaker.

Sponsors/exhibitors registration codes will be allocated to confirmed sponsors by Esther Meneses

After registration each attendee will receive a confirmation of registration.

Sponsor registration must be completed by Friday 5 April 2019.

Exhibition hall information

The exhibition hall will be located in the Lennox 3 room (level -2) at the Edinburgh International Conference Centre (EICC). Delivery information will be provided to primary contacts of sponsoring organisations.

Exhibition set-up is between 1400 -1630 on Sunday 12 May. Set-up must be completed by 1630 in time for the 25th Celebratory welcome buffet that will take place in the exhibition hall.

Opening hours are as follows:
Sunday 12 May: 1800 – 2000
Monday 13 May: 0815 – 1600
Tuesday 14 May: 0830 – 1400

Exhibition dismantle is from 1400 on Tuesday 14 May.

Please note that the exhibition is: Display table (183 cm L x 76 cm W) in a 3m x 2m space with pipe and drape and power provided. Full guidelines for set up will be provided to primary contact.

Lists of attendees

Pre-conference lists of attendees who have agreed to share their personal data with sponsors will be distributed to the sponsor primary contact on 12 April and 3 May (to include full name, position, organisation and country). A post-conference attendee list will be distributed on 4 June.

Please note that these lists will not include email addresses or telephone numbers, in accordance with European data privacy regulations. All lists will be distributed, as PDF, via email.

A Conference App will be available and will facilitate the exchange of virtual business cards with contact details throughout the conference.

Accommodation

Sponsoring organisations may book accommodation at the Sheraton Grand Hotel & Spa and at the Waldorf Astoria Edinburgh, on the sponsor registration form (first-come, first-served basis).
